Job Title: Freight Coordinator
 

The Company
 

We are a medium sized, rapidly expanding logistics company based in Nairobi and with operations in Mombasa, Dar es Salaam and Kigali. 

 

We specialise in freight forwarding, customs brokerage, trucking, warehousing and distribution. 

 

We are seeking an exceptional professional with a successful history in freight forwarding sales and operations to be based at our Nairobi office.

You will be self motivated and comfortable with working under your own initiative but also able play your part in the team effort that is essential in ensuring that our customers get the best possible service that is available.
 

Your main responsibility will be to procure new business from both existing and new customers. 

 

You will be able to demonstrate effective negotiation and influencing skills and be comfortable presenting at boardroom level.
 

Job responsibilities will include but are not limited to:

  • Generate freight volumes and revenue across key routes – Asia, Middle East, Europe, SA and the US. You MUST demonstrate experience and capability in this;
  • Coordination on all shipments including preparation of all documentation, working with shipping line, airlines, freight forwarders and inland carriers, providing updates, obtaining POD’s and charges, and performing all necessary data entry;
  • Negotiating complex pricing structures and take responsibility for accurate invoicing of rendered services, including reconciliation with vendors of credits for any shipment failures or billing mistakes;
  • Provide a single point of contact between customers, customs brokers/agents, and carriers while maintaining visibility and control through all phases of the shipment; keep management updated with any issues that may arise;
  • Preparing proposals and cost detail to internal sales teams as well as quoting rates external customers;
  • Pro-actively generate freight sales to achieve maximum profitability against mutually agreed sales targets;
  • Identify and exploit new freight sales opportunities with existing and potential customers;
  • Analyzing entire logistics costs – origin, freight, terminal, customs, warehousing, inland transport costs for effective customer quotes;
  • Customer service to include initiating and follow-up with customers and carriers to sell or resolve problems, answer questions, correspondence and reports;
  • Prepare and present proposals, quotes and recommend services based on customers' needs and sales of appropriate services;
  • Maintain accurate records of all sales activity and prepare regular forecasts and reports to enable effective forward planning;
  • Research and analyse internal and external market information to enable the business units to identify opportunities and develop products and services which will support business objectives.

Skills

  • Previous experience with import/export regulations and documentation to include preparation of MBL, HBL,MAWB, HAWBL and related documentation;
  • Practical experience in managing customer INCOTERMS to suit their service levels and optimise freight forwarding profitability;
  • Experience in freight route development and ocean forwarding;
  • Experience in generating and project-managing export sales from East Africa;
  • Experience in working with international partners within established agent networks;
  • Strong project management skills and ability to work independently.
  • Strong analytical and problem solving skills.
  • Excellent communication skills both verbal and written, presentation skills are required;

Experience & Qualifications

  • Professional qualifications in freight forwarding – this is mandatory!
  • University degree a definite advantage
  • At least three years experience in a busy freight forwarding environment – this is mandatory!
