The Resettlement Support Center (RSC) operates a US refugee resettlement program in sub-Saharan Africa through a Cooperative Agreement with the Department of State/Bureau of Population, Refugees and Migration.  RSC is responsible for the preparation of refugee case files for adjudication by Citizenship and Immigration Services (CIS) officers, as well as the out-processing and cultural orientation of all approved cases.  RSC is administered by the Church World Service International Refugee Program (CWS/IRP) and is based in Nairobi, Kenya.
RSC seeks qualified individuals for the Receptionist position. The position is based in Nairobi.

Position Description:
This position is responsible for receiving and directing telephone calls and visitors to the RSC office, providing administrative and secretarial support to the Director and Deputy Directors’ offices and ensuring smooth coordination of information flow between the three offices and other sections within RSC.
This position reports directly to the General Services Officer and works closely with the Director, Deputy Directors, and the Administrative Assistant.

Key responsibilities include:
  • Receives and directs all incoming telephone calls to appropriate individuals. Places official calls and keeps a daily log of outgoing telephone calls made via the reception.
  • Receives and directs visitors to the RSC office.  Maintains a list of expected visitors for each day and informs the guards at the gate of the appointments.
  • Maintains current telephone numbers and addresses implementing partners and current suppliers of goods and services to RSC.
  • Receives incoming mail and ensures its efficient distribution within the organization.
  • Sends out faxes as required.
  • Prepares weekly DHL courier mail for circuit rides, CWS, partner organizations, etc.
  • Postage: weighs and franks letters.
  • Prepares and distributes updated and accurate telephone extension lists.
  • Reports out of service fax, telephones and copiers for repairs.
  • Acts as a back up to the Administrative Assistant.
  • Performs other duties, which are designed and developed to improve the operations of the RSC Office.
Qualifications/ Experience:
  • Must have “O” or “A” Level education
  • At least two years relevant work experience
  • A Diploma in Secretarial Studies or a Diploma in Front Office Studies with a typing speed of over 50 W.P.M would be an added advantage
  • Strong written and verbal English Skills
  • Demonstrated strong computer skills, especially MS-Word, Excel and Outlook
  • Good organizational and time management skills
  • Ability to work as a member of a team in a multi-cultural environment
  • Ability to manage a large and diverse workload under pressure with competing priorities
  • Ability to work independently and contribute to overall operations
  • Ability to maintain high performance standards with attention to detail
  • Ability to follow instructions from the supervisor with a positive and receptive attitude
  • Ability to conduct oneself in a professional and courteous manner to represent the best interests of RSC and CWS/IRP
  • Ability to contribute to the US Government and CWS/ RSC Operational Refugee Processing Program in Africa
