Grants Manager, Grants Assistant, Procurement, Accountant, Finance Assistant and Office Manager Jobs in Kenya


A USAID contractor is recruiting the following positions for an ongoing project focused on civic education, citizen engagement and community strengthening.

All positions will be based in Mombasa, and candidates for all positions must demonstrate recent, significant experience working in Mombasa or other locations on the Coast.

All candidates for all positions must be fluent in written and spoken English and Swahili, with proficiency in one or more additional languages spoken in the area preferred.

All candidates for all positions must also be willing and able to travel frequently, as needed, including to remote locations and under challenging conditions.

1. Project Development Officer

The Project Development Officer is responsible for identifying and working with local partners to assess technical and programmatic capacity and assist them in designing, developing and implementing relevant programs.

Candidates must possess at least three years relevant experience in design, development and management of relevant USAID and/or other donor-funded programs in locations on Kenya’s Coast.

Position requires strong writing and organizational skills, proven knowledge of local and international NGOs, community based organizations, key governmental and other stakeholders present in the area.

A Bachelor’s degree in a relevant field, or equivalent level of education and experience, is required.

Candidates must also demonstrate an up-to-date understanding of political, social and economic conditions in Kenya, including the Coast.

All candidates must possess strong skills in basic computer applications including Microsoft Word and Excel.

2. Project Development Assistant

The Project Development Assistant works with the Project Development Officer and others to provide administrative support in identifying and working with local partners to assess technical and programmatic capacity and assist them in designing, developing and implementing relevant programs.

Candidates must have a solid understanding of political, social and economic conditions in Kenya’s Coast, proven knowledge of local and international NGOs, community based organizations, key governmental and other stakeholders present in the area, and must possess at least one year relevant experience in the administration of USAID or other donor-funded programs in this region.

A Bachelor’s degree in a relevant field, or equivalent level of education and experience, is required.

All candidates must possess strong skills in basic computer applications including Microsoft Word and Excel.

3. Grants Manager

The Grants Manager is responsible for assessing recipient organizations’ grant worthiness, financial, administrative and management capacities, as well as developing and administering budgets and financial tracking for grants awarded to local partners.

Candidates must possess at least three years demonstrated experience in the management and administration of grants or contracts funded by USAID or other donors, in a role such as activity management, financial management, procurement or sub-contracting.

Familiarity with USAID contract and grants management policies and procedures is desirable, but experience with other donor funded projects will be accepted.

Candidates must demonstrate superior management, budgeting and administrative skills required for sound management of cash and in-kind grants.

Position also requires strong writing and organizational skills, proven knowledge of local and international NGOs, community based organizations, key governmental and other stakeholders present in the area.

4. Grants Assistant

The grants assistant will assist with grants management functions, such as financial tracking, liaising with grantees on issues related to implementation, documentation and reporting.

Demonstrated strong writing and organizational skills are required, as is knowledge of the local and international organizations present and active on Kenya’s Coast.

Candidates must have a solid understanding of political, social and economic conditions in Kenya, and must possess at least one year relevant experience in the administration of USAID or other donor-funded programs in this region.

A Bachelor’s degree in a relevant field, or equivalent level of education and experience, is required.

5. Procurement Specialist

The Procurement Specialist is responsible for all procurement functions, including procurement for goods and services for both operational and programmatic requirements.

Requires at least three years of relevant experience in procurement, including experience working with USAID or other donor-funded programs in Kenya, preferably including Mombasa as a solid understanding of local market conditions is essential.

Bachelor's degree in relevant field required, additional coursework focused on procurement and logistics preferred.

All candidates must possess strong skills in basic computer applications including Microsoft Word and Excel.

6. Procurement Assistant

Requires at least one year relevant experience in administration, procurement and/or logistics for USAID or other donor-funded programs in Kenya, preferably in Mombasa or elsewhere along Kenya’s Coast.

A Bachelor’s degree in a relevant field, or equivalent level of education and experience, is required.

All candidates must possess strong skills in basic computer applications including Microsoft Word and Excel.

7. Regional Accountant

The Regional Accountant, under the supervision of the finance manager in Nairobi, oversees financial operations, ensures compliance, and performs financial oversight for the Mombasa office.

Specific duties include support for payroll functions; processing payments for operational and program expenditures; preparing monthly bank reconciliations; supervising vendor payments; providing financial analysis and projections as needed; monitoring and tracking grant and contract expenditures as needed; providing all information required for regular financial reporting; and other duties as assigned in an extremely fast-paced environment.

Candidates must possess a BCOM, at least a CPA III, with at least five years of accounting experience including three years relevant experience in financial administration and management for USAID or other donor-funded programs, preferably in Mombasa or elsewhere on the Kenyan Coast as a demonstrated understanding of local banking conditions is required.

All candidates must demonstrate strong skills in computer applications including Microsoft Word and Excel as well as accounting software such as Quickbooks or others.

8. Finance Assistant

The Finance Assistant will support financial management and administration for the Mombasa office, under the direction of the Regional Accountant.

Candidates must have at least two years relevant experience in finance, accounting and/or bookkeeping, including at least one year experience working with USAID or other donor-funded programs in Kenya, preferably Mombasa or elsewhere on the Coast.

Must have Bachelor’s degree or equivalent level of education and experience, and must be a Certified Public Accountant II minimum.

All candidates must possess strong skills in basic computer applications including Microsoft Word and Excel, as well as accounting software such as Quickbooks or others.

9. Office Manager

The Office Manager provides administrative support in the areas of human resources, inventory control, facilities maintenance, events and conferences, as well as service agreements with vendors and other functions essential to operations in the Mombasa office.

In addition, the office manager will assist in organizing travel for project staff, and will coordinate with Nairobi headquarters in disseminating proper protocols or to communicate on areas of cooperation so all offices are operating under consistent practices.

All candidates must have at least three years relevant experience in Kenya, including at least one year supervisory experience, with experience in Mombasa or elsewhere on the Kenyan Coast strongly preferred.

A Bachelor’s degree or equivalent level of education and experience is required.
