We provide farmers with a "market bundle" that includes education, finance, seed and fertilizer, and market access. Our program is proven impactful – every year, we weigh thousands of harvests and measure more than 100% average gain in farm income per acre.  

We are growing quickly. In six years, we have grown to serve 135,000 farm families with more than 1,000 full-time field staff. 

Job Description: One Acre Fund is a rapidly growing organization; increasing the number of sublocations and districts we work in each year.  


We are about to construct a new office facility to accommodate around 250 employees and a residential facility with 60 dwellings in the Kakamega region. 

We are seeking individuals to manage the on-site financial activities on behalf of One Acre Fund.  

Contract details: Project and subject to performance, possibly leading to a permanent position

Candidate Profile 

Interested Applicants must meet the following criteria and requirements (all of equal importance):
  • Completion and good results in high school and college;
  • 3-5 years of experience in a similar capacity, with excellent references.  Construction experience is preferable, but not essential;
  • Accounting/Finance background preferred;
  • Strong work ethic and strong numerical skills;
  • Attention to detail;
  • Good computer literacy and database management abilities, particularly with Microsoft Excel;
  • Quick learner and team player;
  • Excellent written and verbal communicator in English and Kiswahili;
  • Strong sense of accountability and responsibility;
  • A logical mind with the capacity to overcome difficult problems creatively;
  • Good organizational skills;
  • A strong sense of ethics, honesty and integrity;

Roles and Responsibilities
  • To protect One Acre Fund’s financial position throughout the construction phase;
  • Approve and agree the appointed contractor’s monthly valuation;
  • Helping to create a robust Bill of Quantities prior to construction and compiling an estimated project cost;
  • At the pre-construction phase to be working with the project programme to produce a projected cash-flow throughout the construction phase;
  • Working with an assistant to confirm measured works completed and comparing with the Bill of Quantities;
  • Comply with One Acre Fund’s financial audit procedures to ensure financial transparency of the project;
  • Represent One Acre Fund in a professional manner, reporting on progress and anticipated issues arising;
  • Report to One Acre Fund Construction Manager;
  • Provide constructive feedback to One Acre Fund of ways to improve the financial reporting procedure, and to be constantly looking to deliver a high quality project and ensure that best practice is followed.

Job Summary
 
Objective 1: Check the monthly accounts of the bases and those of the capital
  • Check the mission’s cash and bank balance
  • Check eligibility of invoices
  • At the end of each month, check the level of advances for each cash box
  • Verify recording of expenses in each cashbook
  • Edit comments on the accounting of each base monthly
  • Verify presentation of accounting vouchers
Objective 2: Consolidate the mission’s accounts monthly
  • Verify payment of rental agreements when they fall due and split the charges over the periods.
  • Verify that the staff data base is complete and updated
  • Update the depreciation files for the mission’s equipment and vehicles
  • File monthly the original documents related to advance accounts in a separate file;
  • Integrate the cash and bank books into the accounting software
  • Check expenditure by the field to enter data into the accounting software
  • Update the software for each project
Objective 3: Participate in managing the national staff and ensuring administrative follow-up of the files
  • Check contract dates and inform the base administrator and PMs of their expiry date ;
  • Keep the individual files up-to-date;
  • Check that the procedures regarding recruitment and contract terminations are followed;
  • Supervise the preparation of new employment contracts;
  • Establish administrative documents related to employment contracts;
  • Follow up the annual appraisals, ensure that all staff involved in the appraisal schedule it properly and respect the dead lines
  • Check the database for salary payroll form the bases and validate them before the payment;
  • Ensure that all the due taxes are regularly calculated and paid by the base administrator concerned 
Objective 4: Participate in the pre-audit of financial contracts
  • Supervise archiving and presentation of financing contracts (Analytical accounting Book), distribute invoices after journal entries, edit the expenses vouchers from HQ);
  • Elaborate the listing of risks for validation by the administrator
  • Check validity of accounting data with the intermediary and final reports.
Objective 5: Supervise the team
  • Ensure training of cashiers and accountants on the mission;
  • Check the cashbooks and carry out the physical inventories;
  • Ensure training in book-keeping on the mission;
  • Carry out appraisals of the team members.
Qualifications/ Desirable
 
Competencies
  • Bachelor of Commerce (Finance)
  • Strong Computer skills especially in Excel / Accounting systems
  • Prior experience in book keeping preferably with NGOs, excellent numerical and analytical skills
  • Knowledge of donor funds management
  • Good command of English language both written and oral

Pact is seeking to recruit dynamic, qualified and experienced individuals to fill the following position:

Position Title: Senior Finance Officer
 
Supervisor: Finance and Administration Manager
 

Supervises: Finance Officer 

Location: Nairobi

Job Summary: Reporting to the Finance and Administration Manager, the Senior Finance Officer will primarily be responsible for the day to day management and reporting of the program funds disbursed; and financial monitoring and mentoring of partners.

Roles and Responsibilities
  • Review and post invoice and payment batches entered by the Finance Officer into the accounting system before payment vouchers and checks are raised
  • Review and post cashbook batches after checks have been signed by authorized Pact  In Kenya signatories
  • Process the payroll
  • Review petty cash payments requests before cash is disbursed and arrange for petty cash to be replenished every two weeks before close of accounting month
  • Reconcile travel advance accounts for staff before additional advances are issued.
  • Analyze balance sheet items on a monthly basis and clear or follow up on outstanding items
  • Review accounts payable accounts and ensure payments are made promptly and any outstanding balances are reconciled.
  • Review purchase orders raised in the accounting system and post them to the correct accounting codes before purchases are made ensuring tracking of commitments
  • Keep track of cash position and prepare cash request for additional funds on need basis to HQ
  • Prepare invoices to other Pact country offices once Pact in Kenya pays an expense on their behalf
  • Prepare monthly Reports for Pact
  • Generate and post journals
  • Review outstanding grant advances account when grantees request for advances and ensure that grantees are not holding too much cash at any one time to reduce risks associated with cash management.
  • Facilitate addition of new sub-grantees in the accounting system
  • Carry out reconciliation of grant advance accounts and follow up with grant officers to ensure grantees are liquidating in a timely manner.
  • Review and post Grantee Liquidation Reports and raise any differences resulting from currency fluctuations
  • Assist in the preparation of project budgets and review of Project Status RReports.
  • Carry out Financial Monitoring and Mentoring of grantees on need basis.
  • Facilitate training of grantees on Financial/Grant Management.
  • Assist in organizational audits for Pact in Kenya.
Skills and Qualifications
  • Bachelor’s degree in accounting, finance, business or any other related field.         
  • CPA III
  • At least three (3) years’ experience in a similar position preferably in an NGO environment.
Competencies

Major Responsibilities

  • Assisting the GIS officer in development of databases and data collection tools for a variety of purposes.
  • Assist in collection, evaluation and dissemination of programmatic information on a regular basis for analysis and reporting purposes.
