Reporting to the Finance Manager, the Records and Information Officer (registry officer’s) roles and responsibilities shall be as below:
Duties and Responsibilities
- Undertaking all operations in the registry including:
- Ensuring that all records are properly kept;
- Storing and documenting stationery;
- Receiving and documentation of application forms;
- Ensuring that documents pertaining to every member/customer are filed and securely maintained in a member’s file;
- Maintaining registry incoming and outgoing mails ;
- Ensuring that all members’/customers’ files are promptly returned to the cabinet after use, noting that all filing areas shall be out of bounds to unauthorized persons;
- Maintaining a record that leads to tracing of all the documents in circulation;
- Automation of records management at the Sacco
- Filing executed loan application forms after recovery;
- Disposal of documents;
- Mailing and mail handling; and
- Any other lawful duties as may be assigned from time to time.
Qualifications:
Appointment to the position will be made from persons who:
- Are holders of a minimum of C in the Kenya Certificate of Secondary Education ;
- Have a Diploma in Library Science, Records and Information Management or Knowledge Management; and
- Have satisfactory served as a registry clerk in the SACCO or in like organizations for at least three (3) years.
